General Policies

 

  • Regular UBC Imaging Labs hours are Mon – Fri 9am – 5pm
    –Facilities will be closed during weekends, statutory holidays, as well as days that UBC is closed (e.g. between Christmas and New Year)
  • Certain pieces of equipment can render unattended overnight or over-the-weekend imaging services
    –Specific sample rates or lower hourly rates may apply for unattended services

  • A UBC Imaging Lab Manager will  discuss with the client their (potential) research request, the kind of services requested , the best 'fitting' lab/equipment/technician as well as the conditions under which the services can be provided
  • The manager(s) of the UBC Imaging Lab to be used must approve a research request. The client must first submit a Work Enquiry Form, provide any additional information as requested by an individual lab, and sign a service agreement. Signing indicates agreement with the UBC Imaging Labs General Policy, prior to starting the work

  • For self-service projects all users that will enter the facility need to be approved by the appropriate Lab Manager.
  • Employees or other representatives of External Users are expected to have the appropriate training for the equipment they intend to use.
  • Equipment training can be provided as a service at a cost to the user and can be booked by signing up for training courses. Users are not permitted to train other new users
  • Services can be booked through the online calendars by users that are granted access and dependent upon availability of staff and equipment
    –Booking time slots are to be a minimum of 30-minutes
  • Research projects enter the UBC Imaging Labs on a first come first serve basis. Priority can be given to a particular project based on a decision between the client and the respective manager(s) of the UBC Imaging Labs
  • Users may cancel their bookings up to 24 hours in advance. External users that cancel less than 24 hours in advance, or fail to show up for their bookings, will be charged for the full booking unless the cause of the no-show is beyond their control

  • For self-service projects, in the case of unexpected downtime of equipment or absence of staff, our users will not be charged for the time booked. UBC Imaging Labs will attempt to directly notify users who may be affected by unanticipated downtime

  • UBC is granting the external user access to the Labs on an "as is" basis, and makes no representations or warranties as to the fitness of the Lab for the research projects or the fitness of purpose of data, materials and/or intellectual property obtained from the research projects
  • UBC may at any time, at its discretion, change, repair, and/or modify equipment within the Labs. UBC will, to the best of its ability, strive to uphold well-maintained facilities and will do its best to ensure that any changes, repairs, and/or modifications to equipment within the Labs have minimal impact on the projects of external users

  • In vivo projects and those requiring ethics approval or certification must be conducted as full-service projects supervised by UBC personnel.
  • Users wishing to work with hazardous materials without supervision by UBC personnel must produce proof of UBC biosafety or chemical training certification or equivalent.

  • For self-service projects, users assume the entire risk of any loss or damage to the UBC Imaging Labs arising out of an act or omission of their personnel. External users shall promptly reimburse UBC Imaging Labs for any damage to or theft/loss of UBC property resulting from negligence of an employee or other representative of the External User
  • For self-service projects, users represent and warrant to maintain adequate liability insurance and Workers' Compensation coverage for their personnel

  • For self-service projects, users will be billed based on the logging of time spend on the equipment housed in the UBC Imaging Labs. The default method for determining the time spend is based on the booking information. Users are responsible for reporting deviations from the booked time. Failure of a client to report their actual time spend can result in a surcharge or suspension of access
  • UBC Imaging Labs will invoice on a monthly basis. The user will pay to UBC the invoiced amount by cheque
  • Applicable taxes will be charged on top of the prices listed.

  • UBC Imaging Labs will keep and use all confidential information (and marked as such) in confidence and makes reasonable efforts to protect the confidential information from disclosure to third parties
  • As a public organization UBC may disclose the identity of the user, the contract amount, the contract period and that the work is performed with the knowledge and approval of the UBC Imaging Lab Managers.

  • External users will acknowledge UBC Imaging Labs in publications or presentations resulting from work performed using equipment of other support offered by UBC Imaging Labs
  • Analysis reports are only to be reproducible in full and alteration or misrepresentation of imaging and analysis output are not allowed without written permission of UBC
